Omega USA User Creation in SmartTMS

This article outlines the process for creating a new Omega user in SmartTMS.  It applies to: Omega Environmental Technology, Global Parts, MEI, Meridian, AP Air, Ranshu

Overview

This article outlines the process for creating a new Omega user in SmartTMS, including:

    • Creating the user account
    • Applying the standard Omega permissions
    • Copying required system settings
    • Resetting the system settings cache
    • Verifying setup completion

‼️Important: Do not complete user setup until all required system-setting keys have been copied and the cache reset has finished.

 

Required Information

Before beginning, obtain the following from the Omega contact:

    • First Name
    • Last Name
    • Corporate Email Address (used as username)
    • Phone Number
    • Omega Division

‼️Important: The user's division determines the Company Name and address used in SmartTMS. Ensure both are accurate before saving the profile. Incorrect division or address information can impact routing and billing.

 

Step 1: Create the User

Navigate to the Client Record

    • Log in to SmartTMS with administrator access.
    • Locate Omega Environmental Technology.
    • Open the Users tab.
    • Click Add Employee.

Enter User Information

Populate all required fields using the information provided by the client.

Verify Division Information

Confirm:

    • Company Name matches the correct Omega division
    • Address matches the selected division location

Examples:

    • Omega Environmental Technology – Irving
    • AP Air

 

Step 2: Apply Standard Omega Permissions

Use the following permission configuration for standard Omega users:

Standard Omega Configuration: All permissions should be enabled except Default Destination Location, which must remain OFF.

Save the User

      • Review all entered information.
      • Click Save.
      • Confirm the user appears in the Client Access user list.
      • Record the username exactly as displayed—you will need it during system settings configuration.

 

Step 3: Copy Required System Settings

Three system-setting keys must be copied to every new Omega user account. These settings are based on the Omega Environmental Technology Accounts Payable user profile.

Navigate to Client Employee Account Settings

      • Go to System Settings
      • Select Client Employee Account Settings
      • Click Filters
      • Filter by:
        • Client Name = Omega Environmental Technology

Locate the Accounts Payable user record.

Copy Each Key

For each key:

        • Click Copy
        • Select:
          • Type = Client Employee Account Settings
          • Account = Omega Environmental Technology
          • User = Newly Created User
        • Confirm the key name is correct.
        • Enter the appropriate value.
        • Click Copy.

Repeat until all three settings have been applied.

 

Step 4: Verify Settings

Filter Client Employee Account Settings by the new user's name and confirm the following values exist:

Step 5: Reset System Settings Cache

Access the Dashboard

          • Return to the client list.
          • Locate Omega Environmental Technology.
          • Click the three-dot menu.
          • Select Dashboard.

Reset Cache

          • Select Cache
          • Click Reset System Settings Cache
          • Confirm the action

‼️Important: The cache reset may take several minutes to complete. Do not validate user access or perform login testing until the reset has completed fully.

 

Final Validation Checklist

Before notifying the client, confirm:

          • ✅ User created under correct Omega account
          • ✅ Division and address are accurate
          • ✅ Standard permissions applied correctly
          • ✅ DEFAULT_CHARGE_TYPE = 1
          • ✅ DEFAULT_REFERENCES = 11;13
          • ✅ DISPLAY_RATE_COUNT = ALL
          • ✅ All three keys verified in Client Employee Account Settings
          • ✅ System Settings Cache reset completed
          • ✅ Cache reset fully processed before testing access

 

Completion Communication

Once setup is complete and verified, notify the Omega contact that the user account has been created and is ready for access.
