Getting connected: HubSpot Outlook Connector

Internal knowledge base article for Account Managers and Customer Success. Covers installing the HubSpot Sales Outlook add-in and the day-to-day actions you'll use it for. Last updated: September 28, 2026.

1. Initial setup

Do this once per mailbox.

    • Open the add-in. In Outlook, find HubSpot Sales in the ribbon — not the generic "connector" tile — and sign in with your work email (SSO).
    • Remove conflicting CRM add-ins. Open Manage your apps at the bottom of the HubSpot Sales panel and remove any other CRM add-ins (e.g., Salesforce) so they don't compete for the same email view.
    • Pin the panel. Click the thumbtack icon near the top of the panel. This keeps HubSpot Sales open automatically as you move between emails, instead of having to reopen it each time.
    • Turn off auto-contact creation. Scroll to the bottom of the panel → Add-in settings → Log and track settings → uncheck Create new contacts.

Important — do not enable "Create new contacts." With it on, every sender of every email you open gets auto-created as a HubSpot contact, including internal staff, vendors, and one-off senders. This pollutes the CRM. Leave it unchecked and add contacts manually (see Section 3).

Troubleshooting tip: if the task or notes buttons in the panel appear unresponsive, try scrolling down within the contact card first — the controls sometimes render lower on the panel than expected, especially right after login. A refresh or re-login also resolves most first-time load issues.

2. Viewing a contact & their activity

    • Open an email from someone already in HubSpot — the panel shows a summary of recent activity, open tasks, and tasks due this week.
    • Open in HubSpot jumps straight to their full record on the web.
    • View contact expands more detail without leaving Outlook — call button, task creation, and additional activity, all in a pop-out.
    • Use the search field at the top of the panel to look up anyone in HubSpot by name — useful for checking whether an email thread also went to someone else, without leaving Outlook.

3. Logging a task

    • From an open email, click View contact for that person.
    • Click the Task button.
    • Describe the follow-up (e.g., "do research," "call back") and set a due date/notes.
    • Tasks can be assigned to yourself or to another team (e.g., FAP Ops) directly from this screen.

All tasks logged this way roll up into your task list in HubSpot and are visible in the Customer Success workspace — a useful habit to build now during the pilot.

4. Adding a new contact from an email

For someone who isn't yet in HubSpot (a new stakeholder on a client thread, for example):

    • Open the email showing their name, then click Add to HubSpot.
    • Confirm or enter their email, first name, and last name.
    • Under Associate, link them to the correct company (e.g., the client account) — this avoids retyping information HubSpot already has.
    • Add their buying role/title if known. This isn't required today but will become a required field, so it's worth capturing now.

Internal AFS/DTA colleagues generally don't need to be added as HubSpot contacts — reserve this for client-side stakeholders.

5. Scheduling meetings

Known limitation: the connector's meeting scheduler does not show internal colleagues' calendar availability — it only checks the external invitee. This makes it impractical for meetings that involve coordinating multiple internal attendees alongside a client.

Create the meeting directly in HubSpot; it syncs to your calendar.

Schedule in Outlook using the normal Scheduling Assistant. This still logs the meeting to HubSpot automatically — no need to duplicate it.

7. FAQ

Q: The task or notes button in the contact panel isn't responding — what do I do?
A: Try scrolling down within the panel — the interactive controls sometimes sit lower than expected, particularly right after signing in. If that doesn't work, refresh Outlook or reopen the panel; a fresh login typically resolves it.

Q: Why doesn't an email I sent show up under a contact's activity?
A: Activity can be split between the individual email view and the full contact record. If a specific email thread doesn't show tracked activity, check the contact's full activity tab (via View contact) rather than relying on the single-email summary — the complete history is usually there even when one thread doesn't display it.

Q: Can I schedule a client meeting through the connector if I also need to check a colleague's availability?
A: Not directly — the scheduler doesn't currently show internal colleagues' calendars. Book the meeting in Outlook instead; it still logs to HubSpot automatically.
