Blocking Shipper IDs from Using a Client's UPS Account

A client's UPS account can be blocked from being billed by specific shipper IDs using the Manage Inbound Charges tool on UPS.com. Use it when another shipper is putting charges on a client's account, whether by mistake or on purpose (for example, fraud or repetitive misuse of client shipper ID).                                    Inbound charges are shipping costs billed to a client's UPS account by other shippers. Adding a shipper number to the account's exceptions list with a Deny setting stops that shipper from billing the account.

Before you start: check your access

AFS may not have access to do this on every client account. Confirm you can log in to the client's UPS.com account with Billing Center access before you begin. NOTE: You will need a current invoice copy with CID to access the Manage Inbound Charges tool.

      • AFS has access: follow the steps below and make the change directly.
      • AFS does not have access: send the steps to the client so they can make the change from their own Admin account. See the client handoff section for ready-to-send wording.

You will need the shipper number(s) to block. Confirm them with the client first so the wrong shipper is not denied.

Steps

      • Log in to the client's UPS.com account.
      • Go to Billing Center.
      • Select More Billing Tools.
      • Choose Manage Inbound Charges.
      • On the Manage inbound charges screen, select View/Edit my Exceptions List for this Account and click Next.
      • Click Add a new shipper to my exceptions list and enter the shipper number to block.
      • Confirm the shipper shows in the list with Deny under Accept or Deny.

The account's default setting accepts inbound charges from all shippers except those on the exceptions list. Every shipper you add to the list is denied.

What the Manage Inbound Charges tool does

The tool gives the account owner more control over what is billed to the account. It lets you:

      • View inbound charges billed by other shippers
      • Create lists of approved or denied shippers
      • Approve or deny specific shippers
      • Monitor charges being billed to the account

To check or undo a block later, return to View/Edit my Exceptions List for this Account. Tick the checkbox next to a shipper number and select Remove to take it off the list.

Client handoff: when AFS has no access

If AFS cannot log in to the account, send the client an email using the HubSpot template "Blocking unauthorized shippers for UPS". The client completes the change from their own Admin account.

Notes and cautions

      • UPS updates its website regularly, so exact menu names may differ slightly from these steps.
      • The screenshots show a UPS account number and shipper numbers. Redact them before publishing this article or sharing it outside AFS.
      • Only add shipper numbers you have confirmed with the client. A denied shipper can no longer bill the account, including legitimate charges.
      • If you get stuck, UPS recommends contacting UPS customer service.
